Registration Non-Compliance
The College is committed to protecting the public and supporting pharmacists, pharmacy technicians and students (registrants) in meeting their professional responsibilities. The Regulations require all information in our official registers to be accurate. Pharmacy professionals and students have a responsibility keep their College online profiles up to date.
How to Stay Compliant
- Set reminders for certification expiry dates
- Check your online profile regularly
- Update your information right away when something changes
- Respond promptly to emails and requests from the College
Managing registration issues
The College sends automated email reminders to registrants at several intervals, between 90 and 30 days before the expiry of professional liability insurance or First Aid and CPR certification, and again on the day of expiry. These reminders are provided as a courtesy to provide ample opportunity to renew these requirements, update the online profile with the College, and to avoid penalties or being moved to the non-active register due to non-compliance.
If certification, training or other requirements remain inaccurate or out of date after these reminders are sent, the College follows a fair process to help registered pharmacy professionals and students correct the issue and return to compliance.
TYPE 1 Failure to update online profile
A registrant’s credentials are valid, but their online profile hasn’t been updated to show it.
For example:
- First Aid and CPR certification has been renewed, but the new certification dates were not updated in the online profile with the College
- An insurance policy has been renewed, but not entered in the online profile
- Mandatory training is complete, but not entered in the online profile
What happens:
- Level 1 (first offence) Penalty fee and 24 hours to rectify → escalate to next level if not rectified.
- Level 2 (second offence) Penalty fee, a caution letter, and 24 hours to rectify → escalate to next level if not rectified.
- Level 3 (third or more offences) Penalty fee and referral to the Registrar, which may lead to a formal complaint.
TYPE 2 Certification & Registration Non-Compliance (Professional Misconduct)
A registrant continues to practise without valid or required certification, insurance or training. Also, a registrant who practises while registered in the wrong category (i.e., register).
For example:
- First Aid and CPR certificate is expired
- Professional liability insurance has lapsed
- Mandatory training (such as Sexual Abuse Prevention training or Pharmacy Manager training) incomplete
- Registered on the Non-Direct Client Care register, but practising in a direct client care setting
What happens:
- Level 1 (first offence): Penalty fee, caution letter, and possible move to the non-active register until the issue is resolved. 24 hours to rectify → escalate to next level if not.
- Level 2 (second offence): Penalty fee, move to the non-active register until the issue is resolved, and referral to the Registrar (which could lead to a formal complaint). 24 hours to rectify → escalate to next level if not.
- Level 3 (more than two offences): Penalty fee, automatic non-active register, and a formal complaint is filed with the Administrator of Complaints
Non-compliance Record Removal
Non-compliance records remain on a registrant’s internal file for five years and are removed if there are no repeat issues during that period.
